Inventory & Stock
Track what you sell and use — by SKU, barcode, and location (outlet or warehouse).
Included in Starter / Standard platform plans (and available as its own product). Existing platform subscribers get access automatically for their current term.

How to start
- Open Inventory from the Product Launcher (needs an active Inventory or platform subscription)
- Onboard outlets — select the shops that should track stock (nothing is created until you confirm)
- Add item with a SKU (and barcode if you already label products)
- Use the pencil on a catalog row to edit name, barcode, prices, unit, and reorder level
- Optionally Location to add a warehouse (address, map link, sq ft, in-charge)
- Move stock → Receive to put opening quantity on a location
- Use Scan when a USB scanner is plugged in (keyboard-wedge mode)
- Open Labels to preview barcode / QR, Export PNG, or Print labels for stickers
- Use search on Items and Stock when your catalog grows
Print product labels
- Open Inventory → Labels (or click the QR icon on an item row)
- Choose format: Code 128 (any SKU), EAN-13, UPC-A, or QR
- Toggle name / SKU / price on the label and pick a size (40×25, 50×30, or 70×40 mm)
- Export PNG for sticker software, or Print labels for a multi-copy sheet (set copies and columns)
Keep the encoded value the same as the item’s barcode (or SKU) so Scan finds the product after printing.
Onboarding more outlets later
If you add a new shop under Outlets, it does not automatically appear in Inventory. Open Inventory and click Onboard outlets to select the new shop when you are ready.
Barcode scanning (hardware later)
Items store barcode and barcode_type (EAN13, CODE128, UPC, QR, CUSTOM).
- Today: type or scan into the Scan tab; API
POST /vendor-inventory/scanresolves barcode or SKU - Movements accept
source=BARCODE_SCANandbarcodeScannedso future Billing Desk / POS hardware can post the same ledger without schema changes - USB scanners that behave like a keyboard work immediately in the Scan field
Stock movements
| Type | Meaning |
|---|---|
| Receive | Goods in (purchase, opening stock) |
| Issue | Goods out (consumption, waste) |
| Adjust | Correction; optionally set absolute on-hand after a physical count |
| Transfer | Move quantity from one location to another |
| Sale / Return | Reserved for Billing Desk integration |
Every movement stores before/after quantity for an auditable trail.
Tips for SMEs
- Keep SKU stable; change names freely via Edit catalog
- Put barcodes on labels even before you buy a scanner — typing still works
- Set reorder level so the low-stock banner shows what to reorder
- Use a warehouse when stock sits central and only moves to outlets as needed
- Onboard only the outlets that actually hold stock — skip ones you do not need yet

Common questions
Do I need Inventory if I only sell services?
No. Use Appointments and Billing Desk. Add Inventory when you track physical goods, materials, or retail stock.
Will creating an outlet create a stock location?
No. Use Onboard outlets in Inventory when you want that shop to track stock.
Can I hide Inventory cards on the dashboard?
Yes. On the Dashboard, open Configure dashboard and turn cards on or off. Preferences are saved per user.
