Staff Management

Keep your team organised with profiles, employee IDs, and a standing weekly shift roster per outlet.

What it does

Staff Management is your employee directory and weekly coverage board:

  • Add team members and track their details
  • Get a unique Employee ID for each person (like EMP000001) — useful for badges and future check-in systems
  • Define standing shifts per outlet (Mon–Fri, Saturday, Sunday) and assign people until you end or replace them

Who it's for

  • Salons with multiple stylists
  • Retail shops with shift workers
  • Multi-outlet businesses that need clear who-works-when per branch
  • Any business with 2 or more employees

How to add a staff member

  1. Open StaffTeam directory from the sidebar
  2. Click Add staff
  3. Fill in:
    • Full name
    • Phone and email
    • Employment type (permanent / temporary / contract)
    • Join date and role
  4. Click Save
  5. Note the auto-generated Employee ID

Shifts (weekly roster)

Open StaffShifts. Pick an outlet, then work the board top to bottom.

Day groups

Day groupMeaning

You choose the start and end times — Oflync does not force fixed slots (for example 9–5 or 24×7).

Definitions (timeslots)

  1. Click Add shift
  2. Enter a name (e.g. Morning, Evening), day group, start, and end
  3. Save — the shift appears under that day group

Tips:

  • Use Copy Mon–Fri to clone weekday definitions into Saturday or Sunday (assignments are not copied)
  • Remove a shift when it is no longer needed — active assignments on that shift are ended

Assignments (who works)

On the staff board:

  • Each row is a team member; columns are Mon–Fri / Saturday / Sunday
  • Assign someone to a shift from the empty cell, the row menu, or the shift’s menu
  • Replace ends the current person and puts someone else on that shift
  • End removes that person from the shift (standing assignment stops)

Assignments are standing: they repeat every matching week until you end or replace them. The same person cannot be put on overlapping shifts in the same day group.

Coverage issues

The top of the page flags gaps such as:

  • Uncovered — a shift has nobody assigned
  • Overlap — the same person appears on overlapping times (should be rare; the app blocks new overlaps)

Export CSV

Click CSV in the toolbar to download a spreadsheet for managers. The file includes:

  1. Definitions — day group, shift, times, assignee count
  2. Roster — staff × day group (same view as the board)
  3. Assignments — flat list for filtering and sharing

Open the CSV in Excel or Google Sheets. Filenames look like oflync_shifts_Indiranagar_….csv.

How to use staff in daily work

  • When creating or editing an appointment, assign a staff member to the slot
  • Use Shifts so each outlet knows who covers morning, evening, and weekend
  • Use Employee IDs on name badges or ID cards
  • Keep profiles updated when someone joins or leaves
  • Share the CSV with floor managers who do not live in the Partner Portal

Tips

  • Add all current employees when you first set up
  • Define weekday shifts first, then Copy Mon–Fri for weekend patterns you reuse
  • Prefer Replace over deleting people when coverage changes mid-season
  • When someone leaves, mark them inactive rather than deleting (keeps history)
  • Export CSV after you settle the week so WhatsApp groups get one clear file

Common questions

Are Employee IDs unique?
Yes. Each person gets a sequential ID per your account (EMP000001, EMP000002, …).

Can staff log in to Oflync?
Team members can be invited via Settings → Team for portal access — see Roles & permissions. Staff Management is the employee record, not login access.

Is Shifts a separate paid product?
No. Shifts is part of Staff Management (included in your plan).

Can one person work two shifts on the same day group?
Yes, if the times do not overlap (e.g. morning then evening). Overlapping times are blocked.

Does this replace payroll or attendance punch?
No. Staff Management is a directory, ID system, and standing roster — not payroll or biometric attendance.

What if I only have one employee (myself)?
You can still keep your own record; Shifts is most useful once you have a team across day parts or outlets.
