What is Sales CRM?
Sales CRM is an opportunity and pipeline management tool designed specifically for physical businesses and SMEs. It bridges the gap between walk-in customer inquiries, online booking leads, high-ticket quotations, and repeat sales. With a visual deal pipeline, automated daily action agendas, and integrated quote generation, your sales team always knows who to call today and what deals are ready to close.
Key Capabilities
- Opportunity & Lead Tracking: Create and manage sales opportunities linked directly to customers in your Customer Registry.
- Visual Deal Pipeline: Track opportunities across customizable stages:
New Inquiry— Initial customer inquiry or referral.Opportunity Qualified— Requirements gathered, budget discussed.Quote Sent— Official proposal/estimate delivered to customer.Negotiation— Finalizing terms, packages, or discounts.Won 🎉— Deal agreed and ready for checkout.Lost— Opportunity closed with categorized lost reasons.
- Daily Follow-Up Agenda: A prioritized daily task dashboard highlighting:
- Overdue follow-up calls.
- Quotes awaiting customer reply.
- High-value deals closing this week.
- Professional PDF Quote Generator: Build itemized quotes with custom line items, salon/service packages, retail products, tax breakdowns, and download formatted PDF estimates.
- Won/Lost Reason Analytics: Record why deals were won or lost to optimize pricing, service offerings, and sales tactics.
- Customer Timeline Integration: View complete chronological touchpoints for any client — past appointments, billing history, memberships, and active sales opportunities.
Daily Workflow — From Lead to Closed Sale
1. Capturing a Lead or Inquiry
- Open Sales from the Partner Portal sidebar.
- Click + New Opportunity.
- Select an existing client from Customer Registry or enter a new customer contact.
- Enter the opportunity title (e.g., Bridal Makeover Package, Corporate Grooming Contract), estimated value, and expected close date.
- Assign a lead owner / team member.
2. Planning the Next Follow-Up
- Set the Next Follow-up Date & Time on the opportunity card.
- Add call notes or customer preferences.
- The opportunity will automatically surface on the Daily Follow-Up Agenda when the action date arrives.
3. Generating a Quotation
- On the opportunity detail page, click Create Quote.
- Add line items from your service catalog or enter custom line items with unit prices and quantities.
- Apply applicable taxes (e.g. GST) or promotional discount terms.
- Click Generate PDF to download and send the estimate directly to the customer via email or WhatsApp.
- The deal stage automatically updates to Quote Sent.
4. Closing the Deal & Billing
- When the client confirms, mark the deal as Won.
- Raise the GST invoice in Invoices, then link it to the won opportunity.
- If the deal is lost, select a Lost Reason (e.g., Price Too High, Competitor, Postponed) for future conversion reporting.
The Daily Follow-Up Agenda
The Daily Follow-Up Agenda ensures no inquiry is forgotten:
| Tab | What it displays | Recommended Action |
|---|---|---|
| Due Today | Calls and follow-ups scheduled for the current day | Call or message customer before end of day |
| Overdue | Unresolved actions past their scheduled follow-up date | High priority — reach out immediately or reschedule |
| Awaiting Reply | Quotes delivered where customer response is pending | Check in on quote review status |
| Closing Soon | Opportunities with expected close dates this week | Finalize contract terms and payment |
Product Integrations
Sales CRM works harmoniously with other Oflync modules:
- Customer Registry + Sales: Unified client directory — see customer appointment history, loyalty memberships, and sales opportunities on a single timeline.
- Sales + Invoices: Link won opportunities to the invoice you raised so revenue is traced end to end.
- Sales + Staff Management: Assign opportunities to specific stylists, store managers, or sales executives and track individual conversion metrics.
Tips for Higher Conversion
Always schedule the next follow-up date as soon as you finish speaking with a lead. Opportunities with active follow-up dates convert 40% faster than untracked leads.
Review your lost-deal reasons at the end of each month under Sales Analytics. If Price Too High dominates, consider packaging services with Membership Discounts or promotional bundles.
