Managing Customer Bookings
Learn how bookings work — from when a customer books to when you complete the service.
How customers book
Customers can book in three ways:

| Online booking | Registered customer | Finds your outlet, picks service and time, confirms |
| Quick booking | Walk-in / guest | You or the customer books at the counter without full sign-up |
| Phone booking | Any customer | You create the booking manually in Appointments |
What you see when a booking comes in
- The booking appears on your Appointments calendar
- You see: customer name, service, date, time, and outlet
- Status shows as Booked or Confirmed
Managing a booking — step by step
1. New booking arrives
- Review details on the calendar
- Assign a staff member if using Staff Management
2. Customer arrives
- Mark the appointment as In progress
3. Service completed
- Mark as Completed
4. Bill the customer
- Open Billing Desk
- Create invoice for the services provided
- Collect payment (cash or online)
Booking statuses explained
| Status | Meaning |
|---|---|
| Booked | Customer has reserved a slot |
| Confirmed | You have acknowledged the booking |
| In progress | Service is happening now |
| Completed | Service is done |
| Cancelled | Booking was cancelled |
Cancelling a booking
If a customer cancels or you need to cancel:
- Open the booking on the calendar
- Click Cancel
- The slot becomes available for other customers
Tips for smooth bookings
- Respond quickly to online bookings — customers appreciate confirmation
- Keep your calendar updated — cancel or reschedule rather than no-showing
- Use quick bookings for walk-ins to keep your calendar accurate
- Bill promptly after completion so revenue is tracked
Common questions
Can I move a booking to a different time?
Yes. Open the booking and change the date or time.
What if the customer doesn't show up?
Mark as cancelled or no-show. Consider a phone confirmation policy for high-value slots.
Do online bookings need my approval?
They appear on your calendar automatically. You can confirm or adjust as needed.
Can one customer have multiple bookings?
Yes. Each booking is separate on the calendar.
How do walk-in customers book?
Use Quick Bookings from your dashboard — no customer account needed.
